01 Getting started
Install the free plugin and you are compliant within minutes:
- Upload the plugin via Plugins › Add New › Upload and activate it.
- WithdrawFlow creates the withdrawal page automatically (shortcode
[withdrawflow_form]); pick another page anytime under Withdrawals › Settings. - A withdrawal link appears in your footer automatically. Adding the link to your own menu instead? Disable the footer link in the settings.
02 How customers withdraw
Two routes, both with the legally required two-step confirmation and a timestamped receipt by email:
- Personal link (WooCommerce): every order email and the thank-you page contain a token-secured link. The form is prefilled and customers select products and quantities, so partial withdrawals work out of the box.
- Manual flow: without WooCommerce, or without a link at hand, customers enter their name, order number and email address themselves. Ideal for services, courses and social selling.
03 Settings in three tabs
Under Withdrawals › Settings everything is grouped in three tabs:
- Settings: notification email, form page, validity of the personal link, retention period (automatic GDPR cleanup) and optional Cloudflare Turnstile bot protection.
- Terminology: adjust the button label, form introduction and confirmation button. Empty a field to return to the built-in translation.
- Email texts: edit the approval email; with Pro every email is editable, with placeholders such as
{name},{order_no}and{refund_amount}.
04 Handling withdrawals
Every statement lands in the dashboard with status New. From there:
- Approve: the customer automatically receives your return instructions.
- Mark completed: the withdrawal is finished and the customer receives the refund announcement.
- Pro: reject with a reason, complete cancellations before shipment in one click, sync the WooCommerce order status and see a withdrawal column in the order list.
05 Refunds, done right (Pro)
When you complete a withdrawal, Pro registers a real WooCommerce refund for exactly the withdrawn items: amounts and VAT proportionally, shipping costs only when the entire order is withdrawn. The payout itself runs through your payment provider, and the completion email can show the exact amount via {refund_amount}.
06 License & sites (Pro)
Bought Pro? Your license key connects your sites to your account:
- Enter the key under Withdrawals › Settings › License key (Pro). The site connects itself and Pro switches on.
- Your plan sets the number of sites: Pro 1 (one site), Pro 5 (five sites) or Unlimited. Every connected site is listed in your account under Licenses & sites, where you can disconnect a site anytime to free up a slot.
- Updates for the Pro add-on arrive right inside WordPress, like any other plugin.
- When your license expires or you downgrade, sites over the limit are disconnected automatically (first connected, first out) and fall back to the free feature set. Nothing breaks: the compliant form keeps working.

Frequently asked questions
Is the withdrawal button mandatory for my shop?
Since 19 June 2026, Directive (EU) 2023/2673 requires a withdrawal function for distance contracts concluded with EU consumers through an online interface: clearly labelled, easy to find and available during the entire cooling-off period. It also applies if you sell to EU consumers from outside the EU.
What happens if I do not offer the button?
The cooling-off period can be extended by up to 12 months, and your national consumer authority can enforce compliance with fines. Offering the button correctly closes that risk.
Do I still need the statutory model withdrawal form?
Yes. The button is an additional requirement, not a replacement: keep the model withdrawal form available in your shop information.
Can customers withdraw part of an order?
Yes. Via the personal link customers select products and quantities. With Pro, completing the withdrawal registers the matching partial refund in WooCommerce, including proportional VAT.
How do I use the 14-day money-back guarantee?
Open a support ticket from your account (topic Billing › Refund request) or email support@vivix.design within 14 days of your first purchase. We refund through Paddle to your original payment method, usually within 5-10 business days.

Does WithdrawFlow make my shop compliant?
It implements the withdrawal function of Article 11a of the Consumer Rights Directive: the labelled button, availability during the cooling-off period, the two-step confirmation and the timestamped receipt on a durable medium. Full compliance also depends on the rest of your shop information, keep the statutory model withdrawal form available too.
Does it work without WooCommerce?
Yes. That is exactly where WithdrawFlow differs from most alternatives. Without WooCommerce, customers fill in their details manually, ideal for services, courses, memberships and social selling.
Can I cancel my Pro subscription at any time?
Yes. Cancel whenever you like from your account at app.vivix.design; no renewal will be charged and Pro keeps working until the end of the paid period; the remaining term is not refunded. There is also a 14-day money-back guarantee on new purchases.
Will I get a proper invoice with VAT?
Yes. Purchases are processed by Paddle as merchant of record. You receive a VAT invoice automatically, and business customers can enter their VAT number at checkout for reverse charging.
In which languages does the customer-facing form work?
Eight EU languages (English, Dutch, German, French, Spanish, Italian, Polish and Portuguese), following your site language automatically. On top of that you can override every customer-facing text yourself.
